SUPPORT-ERROR MESSAGE 8192

It has been brought to our attention when trying to send a Support ticket, you may get an "8192" Error message. Even though the Error message pops up, the tickets are still being sent and we are receiving them. You do not need to send multiple times, as we are able to reply to the tickets, and you can log into support to view and reply to the message. We are aware of the issue and working to get it resolved as quick as possible. Have a great day!

URGENT: IEP PROCEDURES & NOTIFICATIONS

If you receive Notifications to E-sign for a student that the IEP is current, DO NOT SUBMIT OR E-SIGN THE IEP, you still will have to acknowledge & dismiss the notifications.

If you get a notification for any dismissed students, you will still have to acknowledge & dismiss the notifications.
This issue has been sent to our programmers, we hope to have it corrected soon.

If the information on an IEP tab is current DO NOT submit or E-sign.

ONLY submit & e-sign if you have had a NEW IEP (with new dates) increased weekly sessions, or added new goals.

On the IEP's you need to update or complete, you MUST choose all procedures you plan to provide to that student for them to print on the Plan Of Care. Some procedures & evaluations have been defaulted to print on the Plans of Care. Any procedure that is NOT defaulted you MUST choose if you plan to provide it.

New E-Sign POC Enhancement

SES is processing 25000+ Plans of Care per year. Doctors are not required to sign these Plans of Care and are not as supportive when a Plan of Care for the same student is requested multiple times with unnecessary changes. For the efficiency of obtaining Plans of Care and to maintain a good rapport with the physicians we work with across the state, IEP tabs will be locked for edit once submitted until IEP dates expire or the Plan of Care is within 30 days of expiration.
Part of this upgrade to PaddyNet includes the ability to e-sign the Plan of Care when submitted. This will then be forwarded to the physician for signature and, once received back with physician signature, forwarded back to the LEA to be added to the student’s records.
There are exclusions to e-signature which will prevent the therapist from e-signing the Plan of Care and will only be able to ‘Submit IEP Data’. Theses exclusions are indicated by a red exclamation point (!) on the IEP tab and you will get errors warning you of these exclusions. You will be required to ‘Submit IEP Data’ instead of ‘E-sign and Submit for New POC’ Exclusions are explained below.
• Updating an IEP tab for a new case before it is verified by SES staff. Once verified and all exclusions are met they will receive notification upon next log in to review and e-sign.
• COTA’s and PTA’s that update IEP info. The info must be verified and e-signed by their supervising OT or PT. The supervising OT or PT will receive notification upon next log in that the IEP has been updated and they will need to review and e-sign.
• Updating an IEP tab for students that are not Medicaid or Peachcare eligible. This does not apply for PT cases. If and when eligibility is added they will receive notification upon next log in to review and e-sign.
• Students without positive parental consent. If and when a positive parental consent is added they will receive notification upon next log in to review and e-sign.
Updating and e-signing Plans of Care:
• Update all information on the IEP tab. Pay particular attention to dates, weekly sessions and add ALL goals related to your therapy type in the student’s IEP, not just the goals you are currently working on.
• Choose all procedures you plan to provide to that student. Evaluations have been defaulted to print on the Plans of Care. Any procedure that is not defaulted you must choose if you plan to provide it.
• If no exclusions exist you will select ‘E-sign and Submit for New Plan of Care’. ***Note: This will not be an option if there are exclusions.
• You will be shown a preview of the information you are e-signing. If we do not have physician information you will be given notification of ‘This student is currently listed as Dr. unknown. Should you have updated Dr. info please contact support to expedite the POC request process’, at the top of this preview. This will not prevent you from e-signing; only prevent the request for Plan of Care from being forwarded to the physician. Please review all data for accuracy before e-signing. If data is not correct ’Cancel E-sign and Submit’ will return you to the IEP tab for corrections. You MUST re-enter all data on IEP tab at this time if you cancel. We are working on a fix for this. If all data is correct enter your user name and password, select ‘E-sign and Submit’.
• You will be given a notification that you successfully e-signed and a link to download the Plan of Care for your records.
• The IEP tab is now locked for edits which is indicated by a lock icon on the IEP tab once screen is refreshed. Should changes to the IEP tab need to take place after it has been locked you must contact support via writing with an explanation of why it needs to be unlocked. ***Note: Repetitive requests to ‘unlock’ IEP tabs due to therapist oversight will result in contacting their management.
Several new notification features have also been added to PaddyNet in addition to the Newsfeed. All notifications must be acknowledged prior to proceeding to your case list in PaddyNet. Notifications will be given upon next log in when:
• There has been a new Newsfeed added.
• There have been changes in Medicaid/Peachcare eligibility.
• Any IEPs that need to be reviewed/e-signed that have met exclusions discussed earlier in this publication.
• Expiration date of any Plans of Care that have been added since last log in
We at SES continuously strive to improve the ease of use and functionality of PaddyNet. As with any enhancement there is the possibility of unforeseen issues that could occur even after thorough testing. Should you encounter an issue or something ‘just doesn’t seem right’ please contact support at 800-565-2162 as soon as possible to report it. REMINDERS FOR THE 2016-2017 SCHOOL YEAR

*** It is very important that you E-Sign your documentation at the end of every month, no later than the 10th working day of the following month. This is a Medicaid Requirement that services must be signed off on, or the claims will not be valid in case of a Medicaid Audit. Failure to sign documentation could result in funds having to be paid back to Medicaid.

*** Please review your caseloads for the following: weekly sessions - check the student tab and the IEP tab, IEP information - make sure they are set correctly for the new school year. Also review the missing consents and Dr Unknown list and try to obtain any consents or doctor info that is missing. This information may be available at the start of school on student paperwork for the new school year.

*** You will be required to update your Password in Paddynet for the new school year after you login for the first time. Keep in mind that the user name is the same and is not case sensitive, but the passwords are case sensitive. There is a lost password link next to the login tab.

*** Per our contracts with your school system, you should have ALL of your students with an IEP that you are providing services to on your caseload at ALL times, regardless of their eligibility. You should dismiss any students that you are no longer serving as soon as possible (within the first 30 days of school) and add any new students that are not on your list. If reviewed at the beginning of school it helps to ensure your compliance will be most accurate.
